GENERAL SUMMARY: Under the direct supervision of the Audio Visual Systems Coordinator and following prescribed department, office and firm procedures, the Video Operations Specialist is primarily on the facilitation, coordination, and quality control of the firm’s video conferences. This role is expected to be performed with a commitment to providing superior service to the firm’s attorneys, advisors and staff, and maintaining an atmosphere of teamwork and continuous improvement. Above all this position must fulfill the needs of the firm in a manner which is consistent with the Firm’s Core Values.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Duties are performed throughout every work day, as necessary):
Operate the firm’s video bridges in order to connect, monitor, and perform quality control checks for all multipoint video conferences.
Initiates video conferences within the firm and to external sites. Timely communicates needs and changes to internal team members in all sites and outside bridging services. Facilitates meetings using web-conferencing technology across multiple offices.
Monitor the conference room scheduling system for all video conferences occurring firmwide in order to ensure video conferences are setup on time.
Review all bridging requests forms so that every requirement needed for each video conferences is met. Requirements include but are not limited to video layout, host office, recording, audio line, camera switching, muting and others.
Coordinate with IT Support and other office staff responsible for setup to ensure quality control checks are performed prior to the start of each video conference so that no issues arise during the video conference.
Maintain a daily log of video conferences, including all endpoints involved, approximate number of attendees, and any issues experienced.
Become familiar and competent with all of the video conference endpoints and infrastructure including Cisco codecs, TMS, TCS, Codian MCU, and the Telepresence server.
Monitor audio and video conference calls for length of meetings and provide immediate response to connectivity or participant needs.
Maintain the Firm’s audio/visual inventory including securing the equipment, performing minor maintenance and repair on audio/visual equipment as needed, and coordinating major repair work to equipment as needed.
Perform routine inspections of conference rooms for problems or deficiencies, to include audio/visual equipment functionality.
Provide support and administration for all Audio and Web meeting platforms including WebEx, Intercall and other live streaming/on demand services.
Assist in production and post-production of Firm videos using SSD cameras and Adobe editing software.
Serve as a backup resource for the Audio Visual Technology Specialist when additional help is needed on the conference center floor. Responsibilities include but are not limited to setting up projectors and laptops for presentations, connecting to video conferences, setting up microphones, preparing bridging requests forms and others.
ESSENTIAL KNOWLEDGE, SKILLS AND COMPETENCIES:
Professional demeanor, customer service approach with the ability to remain poised under pressure but display true ownership and commitment to the firm’s attorneys, advisors and staff through the video and audio conferencing function
Self-motivation with strong attention to detail and ability to organize and prioritize projects
A minimum of two years’ experience working with video conferencing equipment in a professional environment
Experience using Cisco Video Teleconferencing equipment
Experience using Cisco Codian Bridge and Telepresence Server
Experience setting up complex A/V sessions using Voice, Video & Web Conferencing
Experience with Adobe Creative Cloud Suite with an emphasis on Premiere, Audition, and After Effects
Direct interaction with users as well as extensive hands on interaction with hardware required
Strong documentation and troubleshooting skills
Proactive approach servicing to the audio and video conferencing function, including awareness/adoption of best practices and performance improvement
Commitment to maintaining confidentiality of client, office and firm information and adhering to the Firm's Core Values
At least a two-year college degree or technical school diploma is preferred; however substantial experience can substitute for education
A minimum of two years of experience in IT operations, preferably in a law firm environment
