The Recruiting and Development Assistant is responsible for adhering to the needs of the Professional Resources Department. The Assistant will work with the Manager of Legal Recruiting on all aspects of law school and lateral recruiting efforts for Proskauer’s Boston office. The Assistant will also work with Training and Development Managers on in-house training programs, annual associate evaluations, CLE tracking, new hire orientations, and other projects as needed.
Responsibilities include, but are not limited to, the following:
Law Student Recruiting/Fall OCI
Assist with annual law school recruiting process by interfacing with career service offices, law school candidates, travel desk, and other Proskauer offices
Register for on-campus interviews and hospitality suites, providing interviewers with all necessary information and materials, and attending off-site recruiting events as needed
Ensure online recruiting database is updated with current candidate statuses, application documents, and interview schedules
Schedule callback interviews and collect candidate feedback
Manage candidate travel arrangements and reimbursement of related expenses; prepare invoices for other firms visited to share cost of travel
Assist with all phases of the Summer Program, including planning and attending social events, organizing training schedule, coordinating with presenters, IT, and facilities, distributing weekly workload reports and tracking assignments
Assist in monitoring expenses related to summer associate program
Lateral Attorney and Paralegal Recruiting
Maintain accurate and timely information regarding lateral candidates
Assist with preparation and execution of fee agreements
Work with headhunters throughout the lateral interview process
Coordinate schedules of candidates and interviewers
New Attorney On-Boarding and Orientation
Distribute and collect required paperwork for Human Resources
Organize conflicts and background checks
Prepare new hire orientation schedule and coordinating with all departments to ensure smooth on-boarding and training of attorneys
Organize practice group trainings, including scheduling presenters, booking required facilities/resources, distributing materials, etc.
Maintain records and data relating to staffing and departmental resources
Coordinate in-house CLE seminars, including preparing attendance sheets, evaluation forms and certificates in accordance with CLE guidelines and regulations
Assist with the attorney evaluation process by scheduling reviews and preparing materials
Assist with diversity initiatives
Greet candidates upon arrival and walk them to interviewers
Work with Creative Services to develop invitations for social activities
Assist with planning and implementation of office-wide events
Recruiting experience and experience with viRecruit and Simplicity a plus
Knowledge of Microsoft Word, Excel, PowerPoint
Excellent communication skills and ability to interact in a professional manner with attorneys, staff, candidates, and vendors
Excellent organizational, time management and multitasking skills
Attention to detail and ability to carefully proofread all documents and correspondence generated in the Professional Resources Department to check for accuracy and consistency
Ability to work overtime as needed
